IT firm calls for more awareness of risks posed by AI
IT provider Document Network Services has issued a warning to firms over the “invisible” risk to everyday workflows posed by artificial intelligence.
Derby-based DNS says many employees are now turning to tools such as ChatGPT and other AI platforms to speed up tasks, from drafting emails to analysing data.
But while the benefits of AI are clear, the company warns that unapproved or unmanaged use, often referred to as “shadow AI”, can introduce serious risks around data security and compliance.
Shadow AI occurs when employees use AI tools without the knowledge or oversight of IT teams.
In many cases, this is done with good intentions, simply to save time or improve productivity.
However, according to DNS, without clear controls in place, sensitive company or customer data can be shared externally without realising.
DNS highlights that this can include anything from financial information and internal reports to employee data being entered into public AI tools, potentially putting organisations at risk of data breaches or regulatory issues.

The firm is now urging businesses across the region to improve visibility over the tools being used day to day, and to introduce clear guidance to ensure AI is used responsibly.
In a statement, the firm said: “AI is already becoming part of how businesses operate and it can deliver real value.
“But without the right visibility and governance, it can quickly create risks that many organisations are not aware of.”
Rather than discouraging the use of AI, DNS says businesses should focus on understanding how it is being used across their teams, putting sensible policies in place, and ensuring staff are aware of both the benefits and the risks.
